Your life is hectic, right? You may say you’re really “busy” But are you really?
You may find yourself bouncing between meetings, conferences and endless hours checking your inbox…
Is this really time spent being productive? Aimlessly letting others control your day, being reactive instead of proactive.
Have you placed your big rocks in the stream? Time spent with family, loved ones, vacations?Have you scheduled time off? Time to work on your business rather than in?
If you don’t plan the most important things first then they won’t get scheduled.
We set up our calendar for success. Let’s break down the process to ensure you can also!
Start with your overall goal, business plan, or plan of action for what you are trying to accomplish. Make sure the goal is obtainable, yet just outside your comfort zone. Something that will make you strive towards it.
Then break down that goal into smaller goals. We utilize what’s called a 4-1-1 action goal worksheet. This breaks down your annual goals, monthly goals and weekly goals.
What’s the one thing you can do such that by doing it everything else will be easier or unnecessary?
Once you have broken down your goals to this level things become very clear. You have a better picture of what actually needs to be done versus the things that steal our attention.
Each month review your calendar, placing those big rocks you now discovered. Some examples are date night, kids practices or games. Dinner with the family. Dinner dates with friends. Script practice, accountability or coaching meetings. Lead generation. I think you get the picture. It’s the 80/20 rule 20% of your activities will account for 80% of your results.
Lets get even more precise! Let’s review every Sunday prior to the week and do the same thing. What can be removed? What did we forget to add that we can plug in now? By doing this you are also setting yourself up for a great week because you took the time to seek clarity of what your goals and objectives were for the week and days ahead. You were intentional about it. You focused on what you wanted to extract from your week and your business.
Pair with this amazing scheduling technique to-do list that you review nightly and re re write and you are even more clear on what needs to be done vs what has to get done. We rewrite our to-do lists nightly to clean up the stuff that we jot down during the day, and also prioritize what needs to happen in order of importance.
You can then time block things in the calendar if needed while reviewing. Ensure to limit the time. The calendar tends to default to 1 hour however we may only need 15 min.
The key to getting things done is to use your calendar, and then do what it says in your calendar. Most of us are self employed, meaning we don’t have to punch a clock. For some this can be amazing and we work well this way and for others it can be catastrophic.
When you schedule items be sure to allocate the proper amount of time for every aspect of the task. Otherwise it won’t get done. Though this won’t guarantee that the item will get done, it will significantly raise the likelihood of it being completed.
If done properly your calendar and CRM should dictate your schedule. By being purposeful and intentional when mapping out your plan of action and goals and then breaking them down and implementing time blocking you have set each and every day up for success.
A successful day is a day spent intentionally and purposely working on the 20% of your activities that will account for 80% of your results.
If it’s not in your calendar it doesn’t exist! Don’t rely solely on your memory. If it’s in your calendar there’s a much higher likelihood that you will get it done.
